The Wilberforce Trust is looking to recruit a part-time (24 hours) Contracts and Services Manager to join their busy team. This position will have strategic overview of the Sensory Services including Local Authority Contracts, Low Vision Clinic, IT Services, Groups and the Outreach Services including the Outreach van.
Responsibilities will include the following:
- Proactively developing relationships with partners and commissioners ensuring any business opportunities are discussed with the Head of Operations
- Develop services and projects in line with organisational aims and objectives and assist with or support any fundraising activities for Sensory services.
- To raise the profile and reputation of the organisation by working closely with partners in the local health and social care sector.
- Maintaining specialist knowledge of developments in the industry appraising the organisation and applying these to the delivery of the service and future developments.
- Also to ensure that the Services provided are of the highest standard and fully compliant with contract requirements, regulations and industry standards and that the organisational values and strategic objectives are paramount in all undertakings.
- To work as part of the management team of the Wilberforce Trust managing the delivery of existing services and participating in the development of new services.
- To prepare and collate information for reports in conjunction with the Operations Manager in line with the Wilberforce Trust policies including;
- Health and Safety reporting
- Risk Management reporting
- Input for consolidation into the Impact Report
- Quality standards
- Key Performance indicators
- Other Human Resource Policies published from time to time.
- To liaise with and report to the management team, Trustees and colleagues on a regular basis regarding the progress of existing and planned service.
- To promote Sensory services to external agencies whenever possible, raising the profile of the Wilberforce Trust and an awareness of its comprehensive range of services for all people with a sensory need and additional disabilities.
- To be the first point of contact for contractors and partners including Local Authority and partner organisations.
- To have overview and responsibility for the monitoring and evaluation requirements of the Sensory contracts and partner relationships.
- To have current knowledge of emerging local authority policies and Department of Health guidelines around Sensory and community equipment provision/monitoring. Be able to translate this information into achievable options for service delivery and then support the staff and volunteers with guidance and support in these areas.
- To keep the Operations Manager informed of any developments and initiatives that could enhance the outcome for customers of the trust.
- To ensure that the Wilberforce Trust continues to provide services of the highest quality.
- To maintain detailed, accurate and up to date records as appropriate for external contractors and the Wilberforce Trust.
- To ensure that all staff within the area of responsibility have access to comprehensive quality training, supervision and appraisal that is fully compliant with regulations and safe practice
- To maintain a good understanding of legislation and regulation pertaining to the area of responsibilities to inform the organisation and practices.
- To ensure that services such as the Low Vision Clinic, IT support to the Sensory services and Outreach Services are well run and meet their objectives and contractual obligations.
- To be aware of budget responsibilities and how this impacts on the overall Wilberforce Trust.
- To work within defined budgets to keep appropriate records and to evaluate and report progress to the Operations Manager.
- To have overall management of the Sensory Services staff
- To offer guidance to the team in their roles ensuring they have credible and challenging Personal Development Plans.
- Management and oversight of the staff and volunteers involved in the Outreach services, including the volunteer Outreach van drivers.
- To provide monthly and periodic reports on performance data and financial information to Senior Management and Trustees, contractors and partners, as appropriate.
- To work closely with the Operations Manager to ensure the smooth running of the Sensory Services.
- To ensure the delivery of the Trust’s services are in line with the relevant and current regulatory requirements.
- To take a leading role in the recruitment of new staff.
- To develop and monitor standards to assure the quality of the service.
- To develop and manage new projects of the Sensory Service, from planning to implementation and ongoing monitoring.
- To observe all legal obligations incumbent on employees of the Trust e.g. in respect of Health and safety and as a Manager, to ensure the Trust meets its legal obligations to employees, service users, external regulatory bodies and the general public.
- Overseeing and developing the Outreach Services and supporting the staff involved.
- Develop and maintain good working relations with all Wilberforce trust staff.
- Promote good employment practices, equal opportunities and welfare in accordance with Trust policies, including disciplinary and grievance procedures.
- The post holder must assume responsibility for his/her own professional and personal development (supported by the company where appropriate) to ensure he/she develops and maintains continuing competences to deliver the charities requirements, including fair and supportive management to all staff.
- To represent the Trust as and when required
- To actively promote the work of the Trust
- To ensure that the values of the Trust are intrinsic to all activities.
- To undertake such other duties as the Chief Executive or Trustees may reasonably require from time to time.
